3.語言簡練。商函屬于應用文體,其主要內容涉及公事,交流目的主要在于磋商公務,實用性較強。因此商函通常直截了當,言簡意明。
商務英語屬于一種語言的變體,一方面,商務英語具備普通英語的語言學特征,與此同時,商務英語又是國際貿易知識和英語語言的有機結合,因而其本身又具獨特性。因此,作為公文性質的函件,商務英語信函無論是在文體上,還是遣詞造句上都具有自身獨有的特征。一般來講,商務英語信函的書寫遵循“7C原則”,即correctness(正確),conciseness(簡練),clarity(清楚),completeness(完整),concreteness(具體),courtesy(禮貌),consideration(體諒)。具體來講,體現(xiàn)在以下幾個方面。
一、商務英語信函的文體特征
(1)商務信函是正式文體,遣詞造句方面要比普通信函講究,用詞往往應用書面語。語言嚴謹、規(guī)范、樸素、準確。比如經常使用書面語,如“hereafter”、“herein”、“herewith”等。
(2)商務信函的語言表達程式化較強。經過多年的發(fā)展,商務英語的語言表達已經打下了深深的行業(yè)印記,并且已經形成了一套較為完整的特有的語言表達形式,這就形成了商務英語信函的套語和行話。
(3)商務信函多以收函人為中心,多用You attitude,而較少使用We attitude。如果一封商務信函處處為收函人的利益著想,這樣無形中就縮短了雙方心理上的距離,收函人也最有可能接受寫函人的要求和建議,也就進一步縮小了雙方的分歧,為促進雙方的貿易起著積極的作用。
(4)商務信函多采用樂觀肯定語氣,避免消極否定語氣。樂觀肯定的語氣會給對方的心情帶來愉悅和減少對方的挫折感,有助于發(fā)展雙方的友誼和信任度,從而建立一種良好的生意伙伴關系。
(5)商務信函的措辭應體現(xiàn)禮貌真誠的態(tài)度。在商務信函中謙恭有禮的用語既能保持友好的貿易關系,又可委婉地拒絕對方的要求或條件。禮貌真誠的態(tài)度可為企業(yè)建立良好的商譽,提高達成交易的可能性。
二、商務英語信函的用詞特征
1.用詞規(guī)范正式
由于商務英語信函是一種正式的公函文體,因此,在用詞方面,大多使用書面詞匯,并力求用詞簡潔樸素、準確具體,能充分體現(xiàn)商務公函的規(guī)范正式的特點。如以“inform”代替“tell”;以“therefore”代替“so”等。
2.用詞嚴謹專業(yè)
商務英語在用詞方面逐漸形成了固定的和常用的詞匯。一些普通的英語單詞,在外貿中可能有著特定的意思,如average(平均數;普通的)在保險中則為“海損”的意思。商務英語信函用詞專業(yè)性強主要體現(xiàn)在大量的專業(yè)術語、行話、縮略語等上,如:FOB(離岸價),CIF(到岸價),insurance policy(保險單),B/L(提單),L/C(信用證)等。商務英語信函的涉外性決定了其專業(yè)術語或縮略語必須約定俗成、國際通用,不能任意更改替換,且這些專業(yè)術語意思明確、內涵特定,在商務活動中頻繁出現(xiàn),因此需要學習者不斷積累并牢記。商務英語信函屬于合同的附件之一,寫函人對信中的內容必須負責。如果信函涉及貨物的價格、重量等,有關數字必須準確嚴謹、毫不含糊,時間日期必須準確具體。
3.用詞簡潔
商務英語信函用詞必須清楚易懂,盡量避免使用模棱兩可的詞語,以免產生不必要的爭議。商函應使用雙方都熟悉的詞,這樣信函內容才能一目了然;選擇具體的詞,具體的詞是和抽象的詞相對應的,而具體的詞的使用使收函人能準確、清晰、明白、快速地掌握信函意思;在復合詞與簡單詞之間、長詞與短詞之間,盡量選擇簡單詞或短詞;在詞組與單詞之間,盡量選擇單詞;避免使用贅述和陳腐套詞。
4.盡量使用表示肯定的詞匯,少用否定詞
積極正面的詞語比反面的詞語更具說服力,從而有助于達成交易目的,而否定詞給人一種否定的印象,甚至還有指責對方之意,不利于與對方建立良好的貿易伙伴關系。
三、商務英語信函的句式特征
1.多用簡單短句
商務英語信函的文體特點要求信函必須用盡可能少的語言有效地傳達信息,信函通常是直接簡練,開門見山,忌拖泥帶水,過分修飾。要做到這一點,信函的語言必須簡單精練,因此簡單句出現(xiàn)的較多。
2.時態(tài)上多用現(xiàn)在時
在時態(tài)方面,商函通常使用現(xiàn)在時,過去的時態(tài)用得很少,F(xiàn)在時的廣泛應用使信函內容顯得客觀、有力,這也正是寫函人所要追求的效果。
3.恰當使用主動和被動語態(tài)
在商務英語寫作中,盡可能用主動語態(tài),因為主動語態(tài)的優(yōu)點是避免了枯燥無味的無人稱句,讓讀者感到他正受到關注。有時為了避免使用過多的人稱代詞作主語,也為了做出客觀的表述,商函也會使用被動語態(tài)。但如果要強調動作的承受者,或者當動作執(zhí)行者不明確或不重要時,又或者當你想要得體地傳遞涉及對方的失職或是錯誤等負面信息,又避免傷害感情、影響對方的工作積極性時,使用被動語態(tài)較合適。
4.使用套語和行話
對外貿易的長期發(fā)展,使商務英語信函這一溝通手段在語言表達上逐步形成一種定式,這就形成了商務英語信函的套語和行話。比如,收到信函的套語:“We acknowledge with thanks the receipt of...”;表示想得到對方回函、訂單時的套語:“Looking forward to your favorable reply.”;表示隨函附寄的套語:“Enclosed please find our inquiry sheet.”當然,商務英語信函中經常使用的套語和行話還有很多,這就需要學習者不斷積累,不斷總結歸納。
5.使用條件句
條件句的使用會使你顯得更禮貌。特別是在你想向對方提出要求或建議時,使用條件句,可以委婉地說明自己的想法和觀點。有時,使用非真實條件句,用虛擬肯定形式表示與事實相反的否定意義,可以達到委婉拒絕責任或抱怨的目的。如:
①We shall book a trial order with you if you will give us a 5% commission.
②If you had understood our letter of July 15,you would have done it correctly.
6.使用祈使句和疑問句
寫函人在表達自己的觀點或向對方提要求時,常有三種選擇:陳述句、帶“please”的祈使句和疑問句。其中,陳述句過于直白、生硬而不宜使用;帶“please”的祈使句語氣比較禮貌;疑問句的語氣最客氣、委婉,并給對方留有余地,特別是在表達不利消息的情況下,有利于緩和危機,效果更為理想。如:
①Please send us your confirmation of sales in duplicate.
②Would you kindly send us your latest catalogue and price-list?
